Frequently asked questions

What is included in the registration fee?

Registration for the World Conference includes a delegate badge and  conference bag, participation in all scientific sessions, access to the technical exhibition area and the scientific poster exhibition, an invitation to the Welcome Reception on Thursday, 3 December, and Closing Reception on Sunday, 6 December and online access to conference presentations after the event has taken place.

The registration fee does not include coffee breaks or lunch. However, coffee and beverages will be available for purchase in the Exhibition Hall during morning and afternoon breaks (see schedule).There will also be refreshment stands at the conference centre selling drinks, sandwiches and snacks.

What are the different registration categories?

Union member
Discounted registration rates are offered to Union members.  This discount applies to current Union members who purchase the full five-day registration. Please note that the member discount may not be combined with any other discount.

Non-Union member
This registration category is for all non-Union member delegates attending the conference.

South African delegates
Delegates from South Africa are entitled to a host country discount on registration. Students and nurses from South Africa receive a further discount on this host country rate, provided they meet the criteria described below.

Student
A special discounted rate is offered for full-time students aged 35 or under.  Students will need to show a valid student identification card at the registration desk when they collect their registration pack at the conference. The Union member discount may not be combined with the student discount.

Nurses
Nurses must present a letter from their employer confirming they are engaged as a nurse when they pick up their registration pack in Cape Town. The Union member discount may not be combined with the student discount.

One-day and two-day registrations
It is possible to register only for one or two days of the conference.  One- and two-day registrations are available for Friday, 4 December through Sunday, 6 December only.

Post-graduate course and workshop only registrations
It is possible to register only for a post-graduate course. The fee is 100€ for each course, and this gives you access to your selected post-graduate course on Wednesday, 2 December or Thursday, 3 December 2015. The limit is one course each day. (Please note these fees apply to registered conference delegates as well as those attending only a course.)

For registered delegates, workshops are complimentary.  However, if you would like to register only for a workshop, the fee is 100€ per workshop. All workshops are scheduled for either Wednesday, 2 December or Thursday, 3 December 2015. The limit is one workshop each day.

Accompanying person
An accompanying person is able to access the conference centre (with certain restrictions) without having to pay the full registration fee.  Please see below for full entitlements of accompanying persons.

What are the accompanying persons entitled to?

Registered accompanying persons are entitled to attend the welcome reception on Thursday, 3 December, and the closing reception on Sunday, 6 December and the exhibitions. Accompanying persons are not allowed to attend scientific sessions.

Where do I collect my delegate badge and conference bag?

Delegate badges will be available for pick-up at the Registration Area in the conference centre. Please bring your confirmation letter with you to the counter, where you will receive your badge, registration invoice and a certificate of attendance. You will then be able to pick up your conference materials in the area marked "Conference Bags".

The Registration Are will be located close to the main entrance of the ground floor at the Cape Town International Convention Centre and will be clearly marked. 

May I register a group of delegates together?

All online registrations must be filled out and submitted separately, with individual payments per delegate.

Should you have a large group and wish to pay with one transaction, please download a separate offline registration form for each delegate and fill each registration out with the delegate's contact details and email address. A different email must be given for each delegate registration form in order to confirm the bookings.

Once completed, you may send the forms together to The Union for processing, along with a copy of the bank transfer for the total number of delegates.

Why is my payment not going through?

If your online payment by credit card is not working, you will need to contact your bank to see what has happened. Some credit cards will not accept international payments unless they have been previously authorised or unless the company is listed as a partner.

How can I cancel my registration?

Until 15 September: you are entitled to a full refund (less an 80-euro administrative charge).

From 16 September through 1 November, you will incure a cancellation charge of 50%.

As of 2 November 2015 , no refunds will be given for cancellations.

All cancellations must be sent to the Conference Secretariat in writing. The amount to be refunded will be calculated according to the date we receive the notice of cancellation. All refunds will be paid after the conference.

Please note that no refunds will be made after 1 November 2015  due to non-receipt of a visa.

How may I transfer my registration to another delegate?

It is possible to transfer an existing registration to another person if you are not able to attend the conference. The transfer fee is 80€.  The registration will be transfered in full to the new delegate, including any booked post-graduate courses and/or accompanying persons.

The Conference Secretariat must be notified in writing regarding any requests to transfer registrations. Please send the existing registration name and registration number (5-digit number located above the name in the email confirmation) with a completed offline registration form for the person to whom the registration is being transfered.

What if I arrive late for my pre-registered workshop or post-graduate course?

Seats booked for both the post-graduate courses and workshops will be held for up to one hour after the course has started.  After one hour, any vacant seat will be passed on to delegates on the waiting list.  If there are special circumstances requring late arrival for the course, please see the Conference Secretariat at the registration desk when collecting your registration badge.

How may I sign up to attend the 4th President's Centennial Dinner?

The President's Centennial Dinners are held annually in conjunction with the World Conference on Lung Health as part of The Union Centennial Campaign 2012–2020.

This year's dinner will take place on Wednesday, 2 December at the Cavalli Wine and Stud Farm in Somerset West, South Africa. The evening will include wine tasting and time to visit the estate's renowned art gallery and gardens of indigenous plants, as well as an elegant dinner in Cavalli's restaurant.
